**What's the role**: Performs a wide variety of complex and responsible administrative/secretarial and operational support functions. Requires the use of initiative, problem solving skills, and independent discernment. Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of T&I. What you'll do: Manage the diary of the CTO including scheduling and meeting coordination.
Book all travels for the CTO and complete expense claims using company systems and processes. Preparation and coordination of CTO meeting agendas. Work with other EAs across the executive team from other offices for coordination of meetings and events. Event management and coordination of meetings the CTO is hosting or when other executives are in Panama, for example, organizing catering or transportation.
Schedule and attend confidential management and board meetings, prepare agendas, and transcribe or distribute minutes. Prepares correspondences, reports, presentations, and handles the executive's schedule. Exercising independent discernment to relieve the manager of routine actions not requiring their immediate attention. Provides reminders regarding upcoming meetings, events or anything requiring a collective action from the executive team and/or other team members.
Prioritizes and coordinates executive outreach and external relations efforts; and handles special projects. Composes, receives, reads or screens, and distributes correspondence as requested. Answers telephone: places outgoing calls and refers incoming calls as per supervisor. Arranges conference calls as directed.
Sets up and maintains files and record systems. Orders materials supplies and equipment upon approval; maintains records of purchase orders; invoices and expenses to date and inventories and logs same as they arrive. Prepares reports from data compiled and records kept as it relates to the assigned work unit or program. Receives, reviews, and verifies documents, records and forms for accuracy, completeness, and conformance to applicable rules, regulations, policies, and procedures.
May receive and process information of a confidential nature; ensures such information is maintained in strict confidentiality. Arranges meetings and conferences for supervisor; schedules use of conference rooms. Makes arrangements for transportation reservations and living accommodations for supervisor's out of town travel; prepares expense reports. Collects data and prepares reports required by supervisor.
Routes documents according to instructions provided by supervisor for appropriate review, correction or signature. Provides administrative, clerical and interpersonal support to manager; data entry/word processing as required. Acts as liaison between manager and other departments in researching questions accurately and expediently. Practices good judgment, discretion and confidentiality of critical information regarding department activities.
Operates standard office equipment including a computer, typewriter, calculator, fax machine, copier, printer, and other related peripheral equipment. Demonstrates and ensures compliance with the Customer First Philosophy, all Liberty Latin America's policies and procedures including the Code of Conduct and Liberty safety standards and procedures. Other functions may be assigned. Knowledge & Experience: Bachelor's Degree in Secretarial Sciences.
Fully bilingual (Spanish/English spoken and written). More than five years of secretarial experience, T&I environment preferred. At least 5 to 8 years of experience providing administrative support at a high level.
