OPERATIONS COORDINATOR, IN-SITU We are looking for anOPERATIONS COORDINATOR, IN-SITU to plan and coordinate all incoming work for the machining department in Panama.

This person will help boost our offering of support and maintenance services for customers operating equipment by multiple brands - including brands currently served by Wärtsilä and other manufacturers - both in the Marine and Energy sectors.

We search for high-potential professionals that are able to lead and develop the In-situ Machine area, performing the responsibilities with quality, health, safety, environmental, and cost targets.

Work actively to meet KPIs targets and ensure customer satisfaction in all activities.

Panama WHAT WILL YOU BE DOING? As an In-Situ Machining Coordinator, you will focus on these responsibilities: Planning and coordination of all incoming work for the machining department, preparing all delivery documents related to the jobs.

Manage all jobs in SAP and CRM (Salesforce) from an administrative standpoint Coordinate tool shipments to and from job sites.

Order spare parts and consumables as needed for the jobs, and department.


Communicate with vendors and negotiate the best pricing; Consult and seek help from Technical Services for complex technical problems as required Prepare job Quotes for In-situ activities and support the Sales area with time estimates.

Handle Timesheets with service work orders and control the employee expense reports for service work and department.

Responsible for all invoicing duties for all In-situ related jobs; Follow up on WeCare, Customer feedback, Quality Environmental Health, and Safety.

Interface with Customer during the job execution, up to the invoice.


Consult and seek help from Technical Services for complex technical problems as required Interface with other delivery functions, to be accountable and analyze the: Time to Invoice (TTI) Work In Progress (WIP) Order margin deviation, Order hours deviation, and Re-Work costs; Controlling the billable worked hours Rate (BR) Utilization Rate (UR) Invoiced Utilization Rate (IUR); Cooperate with Field Services Operation Coordinator when required, for Field Services activities managing the job folder.

Participate in kick-off meetings when required in order to properly create job folders and WIP meetings to discuss the job in progress.

Preparing and submitting monthly reports.

To be successful in this role, we expect you to have:
B.Sc.

or M.Sc. in Engineering or bachelor's degree in Mechanical, Electrical, or similar is desirable. Machining background and a good understanding of machining activities. Knowledge of Field Services operations or Workshop coordination will be a differential.

Strong understanding of departmental and corporate KPIs; Knowledge of MS Office, SAP, IDM, etc. Experience with machining or a good understanding of such. Ability to read and understand basic machining drawings Advanced English (read, write, and speak). Position may require occasional travel - domestically or internationally, passport and availability required.
