The Opportunity

Administrative Assistant - FP 2030 Latin America & Caribbean Regional Hub

ROLE PURPOSE:

Context:

Family Planning 2030 (FP2030) is the only global partnership that focusses on family planning, galvanising partnerships and commitments from governments, civil society, multilateral organizations, donors, private sector, and researchers to achieve the ideal that all people have a right to have access to contraception and make decisions about if and when they want to have children.

FP2030 vision is a future where women and girls everywhere have the freedom and ability to lead healthy lives, make their own informed decisions about using contraception and having children, and participate as equals in society and its development.


The FP2030 Support Network includes five regional hubs:

North, West and Central Africa; East and Southern Africa; Asia and the Pacific; and Latin America and the Caribbean, and North America and Europe, led by an Executive Director who reports to the Governing Board.

The FP2030 LAC Hub will be headed by a Managing Director supported by a small team and hosted by Save the Children.

Save the Children and PROFAMILIA-Colombia working in a collaborative manner have been selected as the host of the FP2030 Latin America & Caribbean Regional Hub.

The Administrative Assistant will be responsible to provide administrate and operational support to the activities of the FP2030 LAC Hub.

He/she will provide support to the Managing Director in the implementation and monitoring of the project workplan and budget. Will coordinate with the rest of the project team to ensure activities and operations are performed.

The position will coordinate and monitor internal communications (project team) and external communications (finance and grants contacts, other relevant members across the support network and external partners and stakeholders in LAC region) to ensure appropriate flow of day-to-day activities.

The Administrative Assistant will report to the Managing Director and work closely with the rest of the project team. He/she will provide administrate and operational support to the activities of the project.

KEY AREAS OF ACCOUNTABILITY:

Administration:

  • Provide logístical and administrative support to the Managing Director, including managing scheduling and calendar and travel arrangements.
  • Provide support travel arrangements for the project team.
  • Coordinate and organize meetings and events ensuring the logistics, and appropriate followup after events.
  • Provide logístical and administrative support to the project team, including supporting meeting set up and logistics.
  • Support the Managing Director in preparing expense reports, and other needed reporting; support these areas as needed for the rest of the project team.
  • Ensure the archiving and management of project documents.
  • Plan and process payments for the operation of the Hub, including office rent, events, travels, translations and procurements in coordination with the Save the Children operations team.

Operations:

  • As directed by the Managing Director, provide support as needed, to include conducting research, drafting and producing materials, taking notes during meetings or calls, and ensuring meeting followup.
  • Coordinate with other Operations and Administrative staff members of Save the Children and Profamilia to ensure cross team collaboration, communication, and appropriate flow of daytoday activities.
  • Provide support to the Hub team on special projects as needed.
  • Contribute to and coordinate project reporting, including content for funder reports, and reporting to the Managing Director and Save the Children.
  • Provide support to the Managing Director in the implementation and monitoring of the project workplan and budget.
  • Coordinate staff induction processes and support donor and Save the Children policies and regulations compliance by Hub staff.
  • Support to the Managing Director and Hub team to monitor internal communications (project team) and external communications (finance and grants contacts, other relevant members across the support network and external partners and stakeholders in LAC region) to ensure appropriate flow of daytoday activities. To be successful, you will bring/have:

  • Bachelor ́s degree in Business Administration, Finance, or similar is required.
  • Written and spoken fluency in English and Spanish required.
  • Exposure to international development, global health and preferably in family planning/sexual and reproductive health in Latin America and the Caribbean
  • 3+ years of professional experience in administration, operations, logistics, project management, or a related field.
  • Proven track record in supporting large or multicountry projects and experience in administrative and operational support in Latin America and the Caribbean region.
