Job Description - Office Manager

Objective

Due to the growing demand within our operational activity, we are currently looking for an experienced Office Manager to join, on a full-time basis, our Panama Team.

Our Office Manager will coordinate administrative duties and office procedures. The main function of the role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

Position reports directly to the HR Manager based in the Panama Office.

**Responsibilities**:

- Handles office supplies purchases, distribution and equipment arrangement when required.
- Manages office budget and ensures accurate and timely reporting to the Finance and or Accounting department.
- Partners with HR to update and maintain office policies as necessary.
- Acts as the key drive of employee well-being initiatives.
- Maintains the office conditions and arranges necessary repairs when required.
- Partners with facility management vendors including cleaning and building services team.
- Organizes office operations and procedures including front desk and or receptionist duties.
- Manages relationships with vendors and service providers including contract compliance and office lease requirements.
- Participates actively in planning and execution of company events.
- Schedules transportation requests for visitors and management when required.
- Coordinates company property insurances.
- Handles travel arrangements for employee business trips.
- Coordinates employee discounts programs.
- Partners with the IT department on all office equipment.

Qualifications and Requirements
- High school degree.
- Advanced verbal and written English communication skills.
- Proficiency in Office MS.
- Proven experience in office administration or hospitality industry.
- Knowledge of office administrator responsibility, systems and procedures.
