Logistics Administrative Coordinator

Allied Steel Buildings, Inc. is seeking a qualified Logistics Administrative Coordinator to join our team. The Logistics Administrative Coordinator is responsible for providing administrative and accounting support to the Logistics team and project teams within a Pre-Engineered Metal Building (PEMB) supplier company. The Logistics Coordinator is responsible for executing all (domestic and international) daily logístical activities and managing the logistics flow of pre-engineered metal buildings from factories to construction sites.

**Key Responsibilities**:
- Receive and request all freight-related invoices from transportation companies and other service providers.
- Verify the amount on the invoice and make sure it matches the quote.
- Collaborate with the logistics lead in reviewing the invoices, especially in cases where they exceed the quoted amount.
- Submit to accounts payables all invoices regarding the logistics of all projects.
- Review transportation company statements of account and liaison with accounts payable to resolve pending payments.
- Reconciliation of all logistics expenses of a particular project and confirming all invoices have been accounted for and paid to assist in the efforts of closing the project.
- Elaborate and review commercial invoices and packing lists before the sailing date
- Create POs and input data in the CRM of the quotation received for a particular project
- Participate in the development, implementation, and functional support of projects and systems to meet client’s expectations and deadlines
- Complete and track month-by-month rate fluctuation in the shipping rate report.
- Request and evaluate freight rate for budgeting purposes
- Plan and coordinate the logistics process for low-complexity projects.
- Track shipments to confirm the schedule needed by the customer
- Respond to customers’ inquiries and refer clients to the proper channels
- Ensure that the quality of all services provided meets the required standards
- Provide shipping updates to customers
- Performs other related duties as assigned
**Qualifications**:
- Two years of experience handling ocean and/or ocean freight shipments and documentation.
- High school diploma, Associate or Bachelor’s degree, and/or related experience in logistics, supply chain
- Previous experience in administrative and/or accounting roles, preferably within the construction or steel industry.
- Advanced proficiency with Google Suite or Microsoft Office Applications
- Strong organizational, time management, problem-solving, and professional writing skills
- Ability to navigate assignments with competing deadlines and multi-task effectively and accurately
- Ability and experience using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems
- Knowledge and experience with pre-engineered and conventional steel buildings preferred
- Knowledge and understanding of structural steel logistics preferred
- Assertive clear communicator; both verbally and in written formats
- Read, write, and speak proficiently in Spanish and English
