A good Administrative Assistant prioritizes organization. Being well-organized helps the Administrative
Assistant monitor an Executive’s appointments and maintain organized filing systems for quick information recall. Administrative assistants should also be personable as they participate in daily interactions with company clients, stakeholders, and other executives.

This position will report to the CEO and the Managing Directors of the company.

Specifications
- Job type: Full-time.
- Salary: $2,000.00 - $3,000.00 per month (less deductions)
- Age: 27-35 years old.
- Gender: Female.
- Schedule: 8 hours shift / 5 days per week.
- Education: High school or equivalent, college (preferred).
- Language: Fluent in oral and written Spanish and English (working proficiency).
- Work location: On-site. Frequent travelling required (25%).
- Experience: o Microsoft Office: 1 year (required). o Administrative Experience: 5 years (required). o Industry Background: Experience in finance and corporate law are highly recommended.

Duties & Responsibilities
An Administrative Assistant performs various administrative support, organizational, and customer service tasks to ensure the professionals they assist have all the resources they need.

Their duties and responsibilities include:

- Managing multiple or complex calendars for meetings, travel, and personal commitments.
- Making travel arrangements for in-office professional and special visitors.
- Attending meetings to take minutes.
- Creating memos, reports, and agendas as needed.
- Negotiating with suppliers and vendors to gather quotes.
- Preparing financial statements, invoices, letters, and other statements/documents.
- Disseminating memos, reports, and other information to relevant colleagues.
- Manage all software used to complete duties.
- Manage all new software that would be introduced to complete office procedures, expansion, and client accommodations.
- Prepare submittals for each project.
- Maintain electronic and hard copy filing system.
- Handle requests for information and data.
- Prepare written responses to routine inquiries.
- Provide administrative and clerical support to departments or individuals.
- Schedule meetings and arrange online/offline conference rooms.
- Alert Executives about cancellations or new meetings.
- Determine matters of top priority and handle them accordingly.
- Prepare agenda for meetings.
- Maintain office procedures.
- Handle information requests.
- Prepare statistical reports.
- Manage spreadsheets.

**Salary**: B/.2,000.00 - B/.3,000.00 per month
