Main Purpose

The Administrative Assistant plays a crucial role in ensuring the smooth operation of the Subregional Office for Mesoamerica in Panama City, Panama. This position is responsible for coordinating and performing a wide range of administrative tasks, providing support to the work unit, and ensuring the timely and efficient delivery of office services.

Key Responsibilities
  • Maintain accurate and up-to-date financial records, including imprest accounts, expenditures, and balances.
  • Retrieve, enter, and analyze data from various sources, including FAO's corporate systems and databases.
  • Verify the availability of funds and ensure that operational expenditures are in accordance with approved budgets.
  • Prepare correspondence and reports on administrative and financial matters.
  • Maintain detailed records of budget estimates, obligations, and available balances.
  • Provide reports on budgetary performance and identify variations from budgets.
  • Maintain local inventory records, including assets, maintenance, and safeguarding.
  • Maintain a filing system of administrative and financial documents.
  • Monitor the receipt of Government contributions and the transfer of ownership of the Organization's equipment.
  • Support the streamlining of procedures and practices and the introduction of new information technologies to the office.
  • Support the administration of personnel and equipment.
Requirements

The ideal candidate will possess a secondary school education and four years of administrative, accounting, and office management experience. Proficiency in Spanish (level C) and intermediate knowledge of English (level B) are required. The candidate should also have very good knowledge of MS Office applications, the Internet, and office technology equipment.
